Position Summary:
The Fiscal Services Manager is responsible for overseeing the financial operations of both the parish and the school. This role entails managing daily fiscal activities, ensuring compliance with federal and diocesan guidelines, and supporting the financial planning and reporting needs of the organization. The successful candidate will work closely with the Pastor, the School Principal, the Parish Staff and the Finance Council to maintain high standards of accuracy, confidentiality, and accountability in all fiscal matters.
Key responsibilities:
- Maintain the accounts payable and receivable for the parish and the school.
- Maintains the accounting of building campaigns including sending invoices, posting payments and pledges and sending delinquent notices.
- Posts weekly contribution records and sends contribution statements annually to meet federal requirements and parishioner requests.
- Supervise Offertory count teams.
- Prepare deposits to the bank on a timely basis within diocesan guidelines.
- Prepare monthly bank reconciliations and monthly financial documents.
- Submit quarterly and annual reports to the diocese. Complete the diocesan year-end financial statement.
- Prepare the annual parish budget and assist the school principal with the school annual budget.
- Serve as ex-officio member of the Finance Council.
- Coordinates with members of the Finance Council to verify deposits with the bank statement.
- Coordinates with parish staff members about tasks related to finance and database management.
- Work with diocesan auditors and outside auditors as necessary.
- Human Resources
- Complete all new hire paperwork for each member of the parish and school staff.
- Maintain accurate and complete confidential personnel folders for each member of the parish and the school staff.
- Serve as secondary person to submit payroll timesheets for parish Non-exempt and Exempt employees according to the established diocesan timetable and guidelines.
- Update salary changes for parish and school employees according to diocesan guidelines.
- File forms 1099 at year end to meet Internal Revenue Service requirements.
Minimum Requirements:
- Associate’s degree in accounting or 2 years accounting / bookkeeping experience.
- Knowledge of non-profit accounting practices is highly preferred.
- Experience with computerized accounting systems.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information.
- Ability to learn the parish database program.
- Proficiency in Microsoft Office suite, particularly Excel.
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
- Must complete diocese-sponsored Safe Environment Training
